(UMKC, UMR, and UMSL Clients)

Programs are available on a rental basis with department authorization for charges to be assessed against a MoCode & Account. Faculty and staff members may place an order in one of three ways:
  • Ask an authorized fiscal officer to send a written or electronic request (Internal Order Form (UM48) including MoCode & Account and complete information concerning the program(s) requested, desired use date(s), and name and shipping address of individual ordering to Media Library, MU Academic Support Center, 505 E. Stewart Rd. via Courier Mail.
  • Call the media library at (573) 882-3601 with complete information about the program(s) requested, desired use date(s), the name and shipping address of the person to whom the item(s) should be sent, and the MoCode & Account that will be provided on an Internal Order Form (UM48) via mail by the department fiscal officer after the item is temporarily scheduled.
MoCode & Account:
MoCodes & Accounts provided by authorized fiscal officers are required for all orders paid using University funds. If you are unfamiliar with University accounting procedures, check with your department chairperson or fiscal officer. The MoCode & Account, department name, and name/address of the fiscal officer to whom department charge information should be sent are necessary when placing an order.

Telephone Inquiries:
Telephone inquiries are accepted from 8:00 a.m. to 5:00 p.m. Central Time (7:30 a.m to 4:00 p.m. during the summer). The telephone number is (573) 8862-3601. Please have all information available when calling.

When placing your inquiry, library staff can verify when a program will be available for use or temporarily schedule the program with the understanding that a department representative will provide the appropriate MoCode & Account within two days (or written authorization will be brought to the library when the item is being picked if the item is needed immediately). A confirming order number will be given for inclusion on the authorization.

When ordering by E-mail or campus mail, include your name and telephone number in addition to the MoCode/Account and name/address of your department's fiscal officer.)

Program Title, Format, and Number:
Indicate the exact program title and, if the program is available in more than one format (VHS, DVD, 16mm film, etc.), indicate the desired format. If you learned about the program from our web site, include the program number listed in parentheses after the title (if a program contains more than one reel or parts with separate program numbers, list all reels or parts as separate entries if all are desired).

Use Date(s):
Specify the date on which you wish to pick the item up and the date on which you will return the item. When ordering for as soon as possible, indicate the last acceptable pick-up and return date(s).

Order Numbers:
The library assigns order numbers for each item scheduled. These numbers appear on all confirmations, packing slips and statements. Please include the order number in all communications.

Rental Fees:

UMKC, UMR, or UMSL Clients:
The basic rental rate listed in our catalogs and web pages is for one or two days use by faculty or staff members at UMKC, UMR, or UMSL. Extended rental charges are calculated as follows:
UMKC, UMR, or UMSL Clients:
Less than 3 days see title listing since base rate varies by title
3 to 5 days 1-1/2 times the base rate
6 to 10 days 2 times the base rate
11 to 15 days 2-1/2 times the base rate
16 to 20 days 3 times the base rate
Overdue Charges: All programs must be returned at the end of the scheduled use period. Overdue fees are $3.00 per item, per day, or the extended rental rate, whichever is greater. Refer to the packing list included with each shipment.

Other Charges:
The user will be charged the regular rental rate for items cancelled after packaging for shipment, and for replacement of containers and/or boxes which are not returned. When an order is placed, the user agrees to also accept charges for telephone calls which may be made if items are not returned on schedule.

Damaged or Lost Programs:
Programs are inspected after each use and customers will be held responsible for damage beyond normal wear and tear, as well as for any loss of programs while in their possession or during transit back to the Media Library.

Usage Statements:
Statements concerning charges for all items used by a department are sent on a monthly basis to the departmental fiscal officer.

Cancelling Scheduled Items:
Cancellations should be requested at least 7 days prior to the beginning use date. No rental charges will be cancelled if the item has already been packaged for shipment before the library scheduling office receives a request for cancellation.

Extending Use Periods:
Should you desire to use a program for a period which is longer than originally scheduled, contact the library scheduling office immediately. The use dates will be extended if there are no other immediate bookings, and the rental charges will be adjusted accordingly. Requests for extension should be received on or before the last scheduled use date indicated on the packing list and the Status Report.

Returning Materials:
Programs must be placed in courier mail on the working day immediately following the last scheduled use date. Overdue charges will be assessed on programs which are not returned promptly.

Use Restrictions:
Federal law provides severe civil and criminal penalties for unauthorized reproduction, distribution or exhibition of copyrighted programs. All programs are protected under Title 17, U.S. copyright code and are subject to the following restrictions:
  • Programs may not be copied, duplicated, transcribed, cut or altered without specific written permission from the copyright holder.
  • Programs may not broadcast, telecast, cablecast, or transmitted by any electronic or digital means, nor may they be stored in a retrieval system or used in a network.
  • Programs may not be loaned to other groups, organizations or individuals.
  • Programs may not be used as part of any profit-making or fund-raising program, nor may admission charges (direct or indirect) be collected.
  • Programs for which public performance rights are not available may only be used in classes for direct instruction (or for private home use).
